Does Visit Beloit assist with meeting groups?

What kind of services are provided for meeting groups?

We can help you find discounted hotel rates; connect with local meeting facilities; suggest local restaurants, attractions, and shopping; maps and visitor information; and alerts to potential scheduling conflicts.

What kind of information will I need to provide?

The information needed for each event are date(s) of event; type of event (meeting, conference, trade show, etc.); location of event (if determined); event needs for a location (if location undetermined); type of attendees (youth, adult, etc.); and types of activity suggestions requested, if any, (local options, day trips to nearby attractions, specific itineraries like brewery tours, etc.)

Does Visit Beloit provide welcome bags for visitors?

For meetings that generate hotel stays, Visit Beloit will provide one bag per attendee. Bags will contain a Visit Beloit visitor’s guide, area map, calendar of events, additional promotional information (if available), and a promotional item (if available). If your meeting doesn’t include overnight hotel stays for attendees, Visit Beloit will provide a maximum of 25 welcome bags for the group. Additional bags, as well as corporate bag upgrades, are available for purchase. Click here to request the form.

How far in advance do I need to make my request?

Hotel reservations and meeting facilities require quite a bit of planning so the earlier you can contact Visit Beloit the better. At least 90 days before your event is needed to secure hotel discount rates. For welcome bags, Visit Beloit requests a minimum of 14 days advanced notice, but earlier is appreciated.

Does Visit Beloit provide a map of area attractions?

Visit Beloit is happy to provide printed copies of area maps to groups that make a request with the Visit Beloit staff member listed above. Additionally, maps are included in welcome bags if your group receives them (see above for the process).
