Does Visit Beloit assist with groups visiting Beloit?

Visit Beloit would love to help your group secure reservations with area attractions/accommodations and answer any questions you might have about the area. Contact the Visit Beloit staff member listed above for more information

What kind of information will I need to provide?

The information needed for each event are date(s) of event, number of nights of hotel stay (if applicable), expected number of rooms for each night (if applicable), type of guests (majority kids, high school students, adults, senior adults, etc.), and special requests (double occupancy, complimentary breakfast, pool, meeting space, proximity to restaurants, etc.).

What factors will determine the rate offered by the hotels?

The rates provided by the hotels will fluctuate based on things like time of year, weekday vs. weekend, other simultaneous events, and occupancy rates.

How will I receive rate and reservation information from Visit Beloit?

Once all information is provided to Visit Beloit we will secure rates (with any deadlines) from the hotels and provide those rates to the group leader. For area attractions and restaurants, Visit Beloit will gather availability and pricing information and connect group leaders with the proper staff at each location. The organizer can then disseminate that information to their group and finalize reservations.

Does Visit Beloit provide welcome bags for visitors?

For groups that utilize area hotels as part of their visit, Visit Beloit will provide one bag per attendee. Bags will contain a Visit Beloit visitor’s guide, area map, calendar of events, additional promotional information (if available), and a promotional item (if available). If your group doesn’t include overnight hotel stays, Visit Beloit will provide a maximum of 25 welcome bags for the group. Additional bags are available for purchase. Click here to request the form.

How far in advance do I need to make my request?

Most hotels have a 30-day cutoff for discount rates, so in order to secure discount rates you need to contact Visit Beloit about your event at least 90 days in advance. Visit Beloit will contact our hotel partners to generate a discounted rate for your group if possible. For welcome bags, Visit Beloit requests a minimum of 14 days advanced notice, but earlier is appreciated.

Does Visit Beloit provide a map of area attractions?

Visit Beloit is happy to provide printed copies of area maps to groups that make a request with the Visit Beloit staff member listed above. Additionally, maps are included in welcome bags if your group receives them (see above for the process).
